The Willmott Dixon preconstruction team are vital link between our customer and ensuring a project is ready to go live. We are currently looking to recruit a Document Controller to join our team in Bristol (Pill). We are looking for someone who will naturally align themselves with our commitment to customer service, quality and our culture. Reporting to the Head of Design, the successful candidate will support team members in maintaining the smooth running of the administration function and will be working closely with the design team.

Key responsibilities

  • Review incoming information on Viewpoint and checking for document upload errors and file naming compliance
  • Assist members of the team internally and externally with project document control such as file and folder management, ensuring notifications are sent for new documents and keeping drawing folders up to date
  • Send out invitations to Viewpoint and ensuring correct permissions
  • 'Troubleshoot' user issues with Viewpoint
  • Chase outstanding RFIs/document issue and send out regular status reports
  • Ensure that the 'S' drive project folders are populated with correct documentation and monitoring compliance
  • Support MiRisk data input
  • Review the status of project control documents
  • Assist with the formatting of RIBA Stage end reports
  • Collate Design Manager end of month progress reports for each project
  • Other administrative tasks as necessary
  • Provide training to external parties and new employees on both the S drive and Viewpoint

Essential and Desirable Criteria

The ideal candidate:

  • A proven proactive approach to internal and external customer service
  • Support team members in maintaining smooth running of the administration function
  • Proficient user of Viewpoint (4 project) Software
  • Proven experience of using Microsoft Office and other packages for the collation of data
  • Ability to multi-task and organise documents/files proficiently
  • Have a proven ability to communicate with people at all levels of an organisation
  • Ability to prioritise and manage time efficiently.
