Job Description

***This is a 6 Month Fixed Term Contract***

Primary role purpose:

  • To manage the Logistics Department & Goods in/Mail room at 99 City Road.
  • Lead all logistics operations for all imports, exports and cross trade shipments for Inmarsat Corporate shipment requests.
  • To oversee & provide support for all freight movements on behalf of the 20 Inmarsat sites & offices globally.
  • To ensure export control guidelines and export licence requirements are being met.
  • Responsible for leading the team and updating the internal online shipping application system.
  • To liaise with external HMRC, BIS, DIT, freight forwarders, Integrators and 3rd party suppliers/vendors.
  • Collaborate internally with Finance, Tax, Procurement and Corporate Governance & the Compliance team including all BU’s within the business globally.

Qualifications

Key Responsibilities

  • To ensure the smooth running of the operations of the Logistics Department, Setting team objectives & maintaining quality throughout the logistics operations process.
  • To ensure that all shipping documentation is completed to a HMRC/BIFA Customs standards taking on board the new 2021 Brexit regulations.
  • Lead the continuous development and provision of high-quality and regular reporting, KPI's and dashboards to deliver insight and support users in their strategic and tactical decision making process.
  • Establish and implement best practice across the logistics team to manage the physical flow of products.
  • In coordination with Procurement, lead freight tenders, benchmark freight rates and SLA’s to ensure that Inmarsat are receiving the best service.
  • Ensure the Inmarsat UK deferment account is managed accordingly by monitoring every quarter to advise H.M. Customs Excise of the UK VAT & Duty declarations working closely with the Tax department & HMRC MSS data reporting.
  • Work closely with 3PL’s providers  – Arrange quarterly meetings with Freight Forwarders/integrators to agree new tariff rates, set KPI’s and to ensure SLA’s are being met to support business project deadlines.
  • Ensure the appropriate Intrastat declarations are made each month for all Inmarsat sites within the EU working closely with external tax teams for all sites.
  • Asset management – work closely with finance team & Capex to ensure entity intercompany movements are recorded on a monthly basis for audit purposes.
  • Finance/Budgets – Strong cost control to ensure the department stays within a strict budget each year and cost save where possible to meet business requirements.
  • Manage and monitor the Inmarsat online shipping system which is updated daily by the team for all Inmarsat users globally to ensure maximum efficiencies at all times.
  • Continually review the department to identify, recommend and implement better working practices and operational solutions including shipping procedures for all sites globally.

Compliance responsibilities:

  • Ensure that all export control procedures and licence requirements are met by all staff involved in moving goods around the world.
  • Compliance – Collaborate with Compliance/Regulatory team by monitoring goods being shipped in Inmarsat’s name are only being sent to non-embargoed countries in accordance with U.K. and U.S. export control legislation.
  • Work closely with the compliance team to ensure all shipments are administered and checked ensuring the regulatory ITAR & EAR requirements have been met on all shipments globally.
  • Maintains knowledge of UK export/Import licences including OGELS, OIELS & SIELS
  • Raise relevant customs documentation required for all ISAT personnel when shipping with military & dual use technical information ensuring all trade compliance regulations are adhered too.
  • Support compliance manager in external & internal compliance audits with DIT & HMRC.

Relationship to Others 

  • Directly reporting to the Facilities Manager.
  • Line management responsibility for the Logistics Team.
  • Support for all BU’s within Inmarsat globally for all logistics requests/queries.
  • Liaising with finance, tax, procurement and corporate governance departments.
  • Good communication with external freight forwarders, integrators and 3rd party vendors.   

Decision Making

  • Strategically review, recommend and implement departmental changes and best practices.
  • Ensure that the best and most appropriate solutions are made for all logistics requests.
  • Appropriate third party logistics provider for shipping which meet BIFA/HMRC customs standards.
  • Ability to communicate and build strong working relationships with a wide range of internal and external stakeholders
  • Lead & seek out to ensure that the best freight price is being offered to the business.  

All candidates should possess the following:

  • Sound base of management experience with the ability to think strategically.
  • Sound working knowledge and experience of UK and US export controls.
  • Sound working knowledge and experience of export licence application.
  • Good customer focusing skills and to be team orientated.
  • Good command of the English language, both written and oral, and the ability to produce quality reports for presentation at board level.
  • Drive and enthusiasm and a willingness to take on additional responsibility.
  • Good interpersonal skills with the ability to work as part of a team and to display flexibility, initiative and co-operation.

The ideal candidate should have a good variety of experience in the following areas. Candidates who do not satisfy all of the criteria will be considered if balanced by expertise in other fields.

  • High levels of knowledge of both U.K. & U.S. export control legislation.
  • Experience of export licence applications.
  • Experience of imports, exports, door-to-door shipments, international shipping terms, dealing with overseas freight forwarders and HMRC, BIS.
  • Logistics qualification would be an advantage.
  • Computer literate - word processing and spreadsheets
  • Good communication skills
