If so, we are looking for two Business Support Administration Officers to join us at the Maritime and Coastguard Agency (MCA), and we’d love to hear from you. Job description

Based in the Business Support Unit in Aberdeen, you will provide dedicated administrative support to Maritime & Coastguard Agency (MCA) outposts across the UK. Working closely with colleagues within your team and across the Agency, you will champion best practice and consistency across the Coastguard Divisions.

We have two positions on offer – one fixed term for 12 months and one fixed term for 9 months. If successful, you will be considered for both terms and appointed based on your experience, suitability for the role and availability. Responsibilities

Your duties will include:
• actively engage with the Head of the Business Unit, team colleagues, HQ Estates and HMCG HQ colleagues to ensure the delivery of seamless administrative support across the Directorate
• process Coastguard Volunteer application data and input Coastguard Volunteer Remuneration claims payroll, ensuring accuracy standards are met and payroll payment time-lines are achieved
• provide local administrative support to Aberdeen CGOC and Division One commanders providing a responsive and proactive team approach to local administrative tasks
• provide a procurement service, ensuring invoices are entered into the shared services system accurately and timeously, adhering to Finance & Governance guidance
• deliver administrative support to all MCA colleagues on Reactive Estates matters, working collaboratively with our Facility Management Company. Working with external contractors when directed, to secure building works, adhering to Finance & Governance guidance

About you

You have excellent administrative skills, able to provide a responsive and proactive approach to administrative tasks on your own or as part of a team. You are well organised with an eye detail and have a track record of working quickly and accurately to complete tasks on time. You have excellent IT skills, are an experienced user of Microsoft Word and Excel, and are confident manipulating data and working with spreadsheets.

You also have excellent customer service skills and are a confident communicator in person, over the phone or in writing. You will be able to quickly engage and build positive working relationships with colleagues and external stakeholders at all levels.

This post is offered on a Fixed Term Appointment (FTA) basis to complete a finite piece of work.

Permanent Civil Servants will not be expected to change their employment status from permanent to fixed term appointment. OGD applicants will be appointed on inward loan and subject to the terms of the agreed inward loan agreement.

The Maritime and Coastguard Agency (MCA) is an executive agency of the United Kingdom working to prevent the loss of lives at sea and is responsible for implementing British and international maritime law and safety policy. It is also responsible for land based search and rescue helicopter operations from 2015.

Its responsibilities include coordinating search and rescue (SAR) on the coastline and at sea through His Majesty's Coastguard (HMCG), ensuring that ships meet international and UK safety standards, monitoring and preventing coastal water pollution and testing and issuing Merchant Navy Certificates of Competency (licences) for ships' officers and crew to STCW requirements The organisation is led by Virginia McVea, its Chief Executive, who took up post in February 2023.The MCA are chiefly responsible for the syllabus and national training standards issued by the Merchant Navy Training Board (based at the UK Chamber of Shipping).
